Within every business organization lives an executive who is tasked with the responsibility of being the face of the company. Successfully fulfilling this role requires presenting yourself confidently and naturally to both the media and your audience.

Executives who step into the limelight often find themselves under pressure to create a positive impression. Effective communication is the key to success, as words have the power to achieve this. However, they also have the ability to do just the opposite.

A significant factor in shaping the public's perception is the media. We've all heard stories of company spokespeople facing unexpected questions, and if they are unprepared for the "what ifs," these situations can quickly take on a life of their own. Just ask any company executive who has had to face the media.

Over the course of a company's lifetime, there will always be a time when talking to the media is necessary, whether it's to share a positive story, a company update or perhaps something less favorable. Being prepared in advance is key to keeping your composure and potentially preventing any harmful remarks.

To help your team's spokesperson feel confident to face the media in their next interview, here are six tips for conducting media training.

Understand The Audience

Before sitting down for any type of interview, do your research. Understand the audience you'll be addressing along with the interviewer you'll be speaking with.

Familiarize yourself with everything about the person—from the work they've done to the media outlet they work for. If sitting down for TV, watch previous interviews to get a better understanding of how the reporter communicates.

Develop Key Messages

Before an interview, think about your key messages. What is it that you want to convey through the conversation? Ensure that the messaging aligns with the topic you'll be discussing with the reporter. Be clear and concise, which can help you stay focused on the topic and prepared for any additional questions that may arise.

You want your messages to align with your overall objectives and be memorable to create a lasting impression. The use of anecdotes, case studies and relatable stories/experiences are good ways to help illustrate those key messages.

You do not want to rinse and repeat from previous interviews. Developing fresh content for each interview goes a long way.

The Art Of Listening

Active listening is an important skill when it comes to media training, but it's a skill that doesn't come easy for some people. While you might get caught up in the moment, excited to respond to the question being asked, resist the temptation to interrupt. Allow the reporter to finish speaking before you begin.

As they're talking, mentally take notes on thoughts that come to mind and pay close attention to the question being asked. What is it that you want the listener or reader to take away from your response? This is where understanding your audience is important. Active listening allows you to provide well-thought-out responses and engage in meaningful conversations. It can also help build trust with the reporter and establish a relationship that can lead to future interviews.

Develop Soundbites And Stories

In today's day and age, attention spans are short, and if you're not giving your audience what they want in the first few seconds, chances are you've already lost their attention. Too much talking and people are moving on.

To keep them engaged, give them concise and compelling soundbites. These short, impactful statements not only convey your key message but are designed to be easily memorable to the audience. This format is attention-grabbing; you've now hooked your listener.

Crafting these types of smaller responses also increases the likelihood of them being picked up by other media outlets and social platforms for reuse in news stories, articles, etc. Shorter answers make for better sound bites for television and better quotes for print.

Practice, Practice, Practice

In media interviews, you can never have enough practice. Rehearsing what you're going to say should be part of your preparation for each interview you take part in. Some best practices for rehearsing include using flashcards to write down potential questions and practice giving concise answers, timing your responses to ensure they are within a reasonable timeframe and incorporating some relaxation techniques such as deep breathing or visualization to manage nerves and stay calm during the interview.

Review Your Performance

Regularly practice your skills through a variety of methods. In doing so, you can build up your confidence and ability to adapt and pivot to different interview styles. A few methods to review your performance include:

• Mock Interviews: Conduct a run-through interview with the help of a friend, family member or colleague who can step into the role of the interviewer. This can help you get comfortable with the format and allow you to practice maintaining eye contact, using appropriate gestures and having a confident posture.

• Record Yourself: Have a video camera or your phone running when you're conducting mock interviews. This will allow you to review your performance and make any necessary adjustments. Most people do not like watching themselves on camera, but in order to see how others will perceive you, it's an important step in media training.

• Feedback: Ask for feedback from those who assist you with mock interviews or practice sessions. Inquire as to what they liked and what they felt could be improved. Use their constructive criticism to identify and focus on areas that need work. Constructive feedback, even when difficult to hear, is important in pinpointing and addressing those areas that need improvement.

By implementing these six essential tips for media training, you can empower your team to confidently navigate interviews and ensure your key messages are communicated effectively and your company's reputation as a leader within your niche remains strong.
